Rural Assistant and Office Co-ordinator
To provide efficient and organised administrative support to the Estate Management team.
Role Overview
An exciting opportunity has arisen for a motivated and reliable individual to join our Taunton office as a Rural Assistant and Office Co-ordinator. This role has two elements; firstly to be responsible for the smooth running of the office and dealing with administrative tasks. Secondly, to support our team of fee earners. This is a varied but rewarding role; ideal for someone who enjoys multitasking and delivering first class client service. The role is permanent, on a full time basis.
Key Responsibilities
- Meeting/greeting visitors and dealing with any queries in person and over the phone in a professional and pleasant manner
- Dealing with office health and safety and ISO requirements
- Managing the booking of meeting rooms for internal and external meetings, including organising refreshments
- Dealing with incoming and outgoing post
- Ordering office supplies and managing office equipment
- Raising Purchase Orders, processing invoices and expense claims
- Diary management including travel and hotel bookings
- Copy typing/drafting of letters, minutes and other documentation
- Monthly invoicing including running departmental financial reports and reviewing debtors, aged time and disbursements
The above is not an exhaustive list of duties and you will be expected to perform different tasks as necessitated
Key Skills
- Excellent data administration skills using MS Office applications especially Excel & Word and with the ability to pick up new software quickly
- Professional manner, articulate with strong verbal and written communications skills, ability to work effectively with individuals at all levels
- High efficiency, organisational and time management skills with excellent attention to detail and accuracy
- Good team player but also able to work on their own and use their own initiative
Team Overview
The Taunton Rural Management team has 12 members, including 2 Directors, 4 Associate Directors, 1 Associate and a Graduate Surveyor, who work integrally with the support team. The team deal with estate management, property management, valuation, lettings and sporting and fishing. We are closely supported by other teams including Rural Professional, Food and Farming, Forestry, ABS and Planning.
